Change Management: Theory and Case Studies

“Everything changes all the time in the world!” As our beloved Lulu Santos said in the classic “Like a wave on the sea”.

Change is part of any dynamic environment. Thinking about the impacts that change can cause is essential if a system is to function properly. In the organizational context, identifying these changes and acting preventively in the face of their impacts is called “change management”.

These changes can happen both internally and externally, in products, services and during projects at the request of the client. That's why it's essential to be aware of all these situations. 

And how do we deal with these changes? We can look at theory and practice.

In Theory

When implementing change management, some challenges can occur, such as:

  • Negative behavior on the part of the team, such as resistance, complaints or lack of confidence in the change;
  • Insufficient communication with those involved;
  • Absence of a documented method to guide change management.

But where there is a problem, there can also be a solution, both in terms of behavior and processes.

Some key strategies include:

  • Train the entire team so that everyone is aware of their responsibilities;
  • Encourage and engage the team with prudence, transparency and patience to strengthen commitment, participation and reduce resistance;
  • Organize the change in a “project” model with a person responsible for the change and a defined timeline;
  • Stimulating, recognizing, thanking and encouraging individual performance and valuing those who have led and believed in the proposed changes.

In Practice

Identifying changes on a daily basis is fundamental for quality professionals. Through change management, many preventive actions are established in an organized action plan with responsible parties and deadlines.

In this edition of our newsletter, we propose to reflect on an external change that is profoundly transforming the corporate environment: the arrival of Artificial Intelligence.

Just like the COVID pandemic, the arrival of AI was abrupt, i.e. unplanned. From one moment to the next, chatgpt, gemini and copilot were among us - impacting processes, decisions and work routines.

That's why it's time to apply change management here too and propose these possible impacts of this new technology:

  • Leakage of confidential or sensitive data (e.g. strategic company data or personal data);
  • Collaborators “copying and pasting” AI responses that may be inaccurate or incomplete;
  • Use of multiple AI tools without clear criteria;
  • Low uptake of AI due to lack of practical training for employees
  • Loss of efficiency and competitiveness by not using AI as a strategic tool for data analysis, waste identification and continuous improvement.

Conclusion

How is the implementation of a change going in your company: is the method in use and up to date? Does the team understand the importance of documenting and managing this change? 

Be confident in recording all actions. Communicate constantly with all impacted parties. Change is inevitable and change management is the most assertive choice.
